The Law Offices of Sean W. Scott, Esq., WLAW, PA is seeking a full-time front office receptionist and office assistant. Candidate will be responsible for answering telephones calls, managing client appointments, staff scheduling, and greeting clients. Front office receptionist client coordinator will be responsible for efficiently and effectively managing and scheduling appointments of the day from start to finish, including check-in, collection of payments and balances, check-out, referrals, creation of client files, and relaying staff’s instructions to the client and facilitating scheduling of follow up visits.
Customer relations skills are critical. Team-work and interpersonal skills are very important. Previous experience in similar professional office or hospitality environment helpful. Previous legal office experience and understanding of basic legal terminology helpful but not necessary.
Typical schedule is Monday-Friday 9:00 AM-5:00 PM.
Compensation commensurate with skills and experience.
Essential Functions of the Position:
* Responsible for initial client interface via phone, video, or in office
* Greet clients prior to meeting with staff
* Schedule appointments
* Takes messages or forward to voice mail-boxes
* Assists with client requests or needs
* Creation and management of physical and digital client files
* Manages office supplies and ordering
* Scanning
* Enters referral information into client referral system for referral tracking
Additional Responsibilities:
* Maintains an organized and clean work area
* Participates in maintenance of front office and conference rooms
* Performs other incidental and related duties as required and assigned

* High level verbal and written communication skills
* Normal physical ability; able to sit for long periods
* Normal concentration and normal complexity of decision making
* Above average ability to manage multiple tasks simultaneously
Job Qualifications:
* High school graduate or GED equivalent or better
* Strong customer service orientation imperative
* Attention to detail
* Excellent telephone etiquette
* Strong team player - positive, helpful, empathetic, compassionate disposition
* Ability to multitask
* Basic computer proficiency including familiarity with MS Word, MS Excel, and Zoom
* Basic understanding of legal terminology helpful
* Minimum of one year experience in a similar role
